Monday.com is a project management and collaboration platform designed to be as flexible as possible. So on this platform, everything can be customized to fit your needs. For example, you can add additional task information, customize the task statuses, create workflow automation, customize forms, etc.
At a glance, Monday.com is a simple project management platform to make it easier for you to start managing projects. However, this platform can turn into an advanced solution depending on your needs. Most importantly, Monday.com has the ability to supports the workflows of every type of project teams.

By default, the features on Monday.com look very simple. There is only a table view that contains task information such as title, person, status, and date. However, as mentioned above, this platform is quite flexible to meet your needs. Below is a screenshot of the table view on Monday.com.
Looks very simple right? But fortunately, Monday.com allows its users to customize the existing information of tasks. For example, you can change the title or type of existing columns, or even delete certain columns if you don’t need them. You can also add additional columns if needed.
In addition to the table view, you can add other views as an alternative. Its view options including Kanban, Timeline, Chart, Calendar, Files, Form, Map, and Broadcast. We will explain the use of each view in the next section.
But wait, does Monday.com not provide a Gantt chart view? Yes, they do not provide it. Because they prefer to manage people, not tasks or projects and created the timeline so that you can do just that. As explained earlier, Monday.com gives several view options on your boards/projects. Firstly, there are Table, Kanban, Timeline, and Calendar views to display tasks. Secondly, the “Chart” view to display the project summary. Thirdly, “Files” view to display all uploaded files. Fourthly, “Form” view to make a form out of your board which answers will create new items. Fifthly and the last one, “Broadcast” view that enables you to broadcast your boards/projects or embed them on your website.
Workflow and Task Statuses
Task statuses in Monday.com are like “Custom Fields” in other project management platforms. In this platform, there is a “Status” column type used for labeling the tasks. And as explained before, you can add more than one column as your needs. So that’s mean it can be more than one status on each task. For example, you can add delivery status, approval status, etc. Most importantly, the status options can be customized as needed.
In addition to the task statuses, Monday.com provide a “Workflow Automation” to automate your team’s workflow process. For example, when the task has certain statuses, then the task will be assigned to someone automatically.
Monday.com provides several widget options to display on the Dashboard page. With this feature, you can see important information related to your projects in one place.
There are 15 available widgets to help users understand project progress, track budget, estimate teammates workload and much more! It allows your team to stay focused on what’s important, not just what’s urgent.
One of the available column types is the formula column, which allows you to make calculations with other columns. It goes from a simple mathematical equation to more complex functions and formulas. So you can imagine Monday.com like Excel but with a more beautiful look.
We will give an example of the use of the formula column that is often been done by many users. If you have a time tracking column, you can calculate the time remaining or the billing rate based on time spent on each task and other related columns. Also, the formula column is often used to calculate the remaining budget or other things related to project financial management.

Using Monday.com is very easy if used to manage simple projects. But along with the increase in needs for managing project, the need to configure the system also increases. For example, some essential information about tasks such as the start date and due date are not available by default. Thus, you need to add an additional timeline column for that information.
Custom Task Statuses
If you want to create your own workflows and task statuses instead of using the existing status options, you can add an additional status column. However, the existing status column can also be modified. But we don’t recommend you to do it, because based on our experience it can be confusing.
We have tried to modify the label options of the default status column to be the following options: “New”, “To-Dos”, “In Progress”, “Ready for Test”, and “Completed”. At first, we did not find any problems with that. But every time I add a new task, the status column will have the value “In Progress” by default. I don’t know why that happened. And unfortunately, I can’t find a way to change the default value.
That’s why we don’t recommend you to modify the default status column if you want to create your own workflow and task status. Thus, adding a new status column is the best way to make it happen.
The more complex your project is, the difficulty also increases. But like using Excel, the difficulty is only at the beginning. Henceforth Monday.com will be very easy and fun to use.

Monday.com provides online Guides including knowledge base, video tutorials, daily webinars, and use cases. With that, you can learn about how to use this platform and explore all of its capabilities. In addition, Monday.com also provides live supports through email, by phone, and even VIP training package.
Monday.com offers four subscription plans: Basic (start from $17/month), Standard (start from $26/month), Pro (start from $39/month), and Enterprise (contact monday.com for custom quotes). Pricing depends on the number of users. The main differences between the plans include the file storage size and features availability.
Pros and Cons
In our opinion, monday.com is designed like Microsoft Excel with several project template options. Also, it’s equipped with tools to supports project management activities such as time tracking, workflow automation, etc. So in addition to its complete features, this platform is also really flexible to use.
First-time use is not quite easy. In addition, create reports related to projects and resources isn’t simple. Because like Excel, creating reports can be done by filtering tables or calculating certain values such as the estimated time and time spent on tasks.
Monday.com provides almost all features required to manage projects, even though it might not be easy enough for the first time. Also, considering its flexibility, this platform is suitable for all types of projects. So we recommend monday.com for you, whatever your project type. Especially for those of you who are managing complex projects and need tools to create reports like Excel can provide.
